Routines run in the background and drop personalized drafts into your queue every morning. Skim the previews, hit approve, or flip on auto-send and skip the queue entirely. Most agents clear it in under five minutes.

You built a sphere of 250+ past clients who'd refer you again — if you stayed top-of-mind. But staying top-of-mind takes 5–10 hours a week. Nobody has that. So the referrals never come. The commission never hits the bank. Here's what the math actually looks like:
88%
of clients say they would refer their agent
12%
actually do
70%
of all real estate business comes from referrals and repeat clients
Sources: NAR Profile of Home Buyers and Sellers; HubSpot referral-program research.
03The math
Move the sliders to your numbers. Agents who nurture their sphere close ~2× the referral business of agents who don't. The difference is sitting there waiting for you.
Defaults: a 250-contact sphere and a $9K average commission (US median home × ~70% net to side).
Conservative numbers. Sources: NAR member surveys on sphere-of- influence business mix; published “stay-in-touch” referral-rate studies. Your mileage will vary based on your market, your sphere, and how often you actually answer your phone.
Four small steps from sign-up to sphere-on-autopilot. Each takes minutes; together they replace a habit you keep meaning to build.
01
Connect Gmail or Outlook in two clicks via OAuth. Nurtch sends through your account so replies come straight to your inbox. We only access your email to send and detect replies — we never browse, store, or train on the rest of your inbox.
02
Upload a CSV, sync from Follow Up Boss, or paste in your existing contact list. Tag past clients, leads, and sphere contacts separately so Nurtch knows who's who.
03
Paste in 3-5 emails you've sent before. Nurtch learns your tone — casual, formal, your turns of phrase — and uses it for every message it drafts.
04
Nurtch sends follow-ups, birthday wishes, and check-ins on schedule. When someone replies, Nurtch reads the reply, classifies the intent (cold/warm/hot lead), and pre-drafts your response — you just hit send.
Pick a cadence — quarterly past-client check-ins, monthly sphere touches, bi-weekly lead nurture — and Nurtch drafts the right message for the right person at the right time. Daily, automatic, zero clicks once it's running.
Annual touches that fire on each contact's actual birthday or home-purchase anniversary — the highest-converting moments to be remembered. No calendar reminders to manage.
When a contact replies with buying intent, Nurtch flags it and drafts your response. You never miss the moment a lead heats up.
Send a personalized referral ask to your entire sphere in one click. Each message drafted individually, never the same copy twice.
Every message is written for the specific person — past purchase, last conversation, time since contact. Trained on emails you've actually sent so it sounds like you, not like a template.
Reach contacts on whichever channel they prefer. Both run through your existing Gmail/Outlook + your SMS — replies come straight to you, never to a shared inbox.
06How it compares
Nurtch is purpose-built for one thing: keeping your sphere warm. It doesn't replace your CRM, and it doesn't generate brand-new leads. Here's how it stacks up against the alternatives agents actually consider.
Time and cost ranges are typical estimates. Virtual-assistant pricing varies by region and skill; mass-email tool pricing varies by list size.

We never train on your data. Your email content stays between you and your contacts. OAuth means we never see your password.
08Questions
We train on 3-5 emails you've actually sent before so the drafts pick up your phrasing, your sign-off, your level of formality. Every draft lands in a review queue first — you read it, edit if you want, hit send. If a draft sounds off, regenerate it with a one-line instruction ("more casual", "shorter", "mention the kids") and try again.
Nurtch sends through your own Gmail or Outlook account via OAuth — same authentication you'd use for any other email, same sender reputation you already have. You're not blasting from a shared marketing domain, so deliverability matches whatever inbox-to-inbox sending looks like for you today.
We never train models on your email content — your messages aren't fed back into anything. We use OAuth for Gmail/Outlook, so we never see your password. We only access email to send on your behalf and detect replies — we don't browse the rest of your inbox. Your contact list is yours; export anytime, delete anytime.
Default is review-and-approve. Drafts land in a queue and you decide what to send. If you want, you can flip a setting to auto-send on a per-message-type basis (e.g., birthday wishes auto-send, but referral asks always need review).
Cancel anytime from your settings. Before you fully cancel we'll show you what's queued up — if you're mid-flow, you can pause routines instead and keep all your contacts and history. Full cancel stops drafting + sending; your data stays accessible for 90 days so you can export, then it's fully deleted.
Native integration with Follow Up Boss for live sync. For everything else (kvCORE, Real Geeks, BoomTown, Sierra, etc.), CSV import works — most CRMs export contacts in a standard format and our importer auto-maps headers like "first_name" / "FName" / "Given Name" to the right fields. A Zapier-based integration is on the roadmap.
About 10 minutes. Connect Gmail or Outlook (30 seconds), import your sphere via CSV or FUB sync (1-2 minutes), paste in 3-5 emails you've sent so we can learn your voice (5 minutes). After that you'll start seeing drafts within the hour.
It still works, but the math obviously favors larger spheres. If you have 50 contacts and a $9K average commission, the break-even is just under one extra deal every two years — easy to clear, but the absolute return is smaller. Nurtch is most valuable when you have hundreds of past clients you'd love to stay in touch with but realistically don't.
A routine is a recurring rule like "draft a check-in to past clients every 90 days" or "send happy-birthday wishes on each contact's birthday." You pick a preset or build your own, set the cadence, and routines do the rest — every day at your preferred local hour, drafts land in your queue (or auto-send, your choice). You see exactly who got what on each routine's recipients panel, including reply attribution stats.
No. Cadence enforcement is per-contact across every routine — if someone's in two routines that overlap, they only get the next message after the longest cadence has elapsed. And every email includes a one-click unsubscribe (CAN-SPAM compliant by default).
